TeamKids Terms & Conditions

Welcome to TeamKids! We are committed to providing safe, high-quality Outside School Hours Care that meets all applicable child safety, education and regulatory requirements; while ensuring you and your family feel supported throughout your journey with us.
These Terms and Conditions ("T&Cs") outline our commitments to you and your responsibilities when using our Services, so we can work together to provide the best possible experience for your child.
Our Commitment to You
If you are ever dissatisfied with any aspect of our Services and believe matters have not been fully resolved, please let us know. We will do everything possible to ensure your experience remains a positive one.
By enrolling your child in TeamKids Services (as outlined in the TeamKids registration form), you agree to be bound by these T&Cs.

- Your Information & Authorisations
- You confirm that you are the parent or legal guardian of the registered child, and that all details provided (including medical information, emergency contacts, and authorised collectors) are accurate and kept up to date.
- You authorise your child’s participation in all TeamKids activities, including occasional G-rated films.
- You authorise TeamKids staff to:
- (a) Consult with your child’s school regarding behavioural or medical needs.
- (b) Administer first aid, arrange ambulance transport, and obtain medical treatment if required (at your cost).
- (c) Apply sunscreen if none is provided.
- (d) Capture photographs, videos, or sound recordings for program-related purposes (e.g., learning documentation, parent communication, internal training).
- These will not be used for biometric or identification purposes, nor shared with third parties.
- Consent may be withdrawn at any time via your TeamKids account (although this may impact service delivery).
- Additional consent is sought for use in advertising, marketing, or social media.
- Fees and Financial Obligations
- All fees must be paid by the due date via direct debit (bank account or Visa/Mastercard).
- Billing cycles:
- Before & After School Care: Fortnightly in arrears.
- Holiday Program: Fortnightly in arrears.
- Payments are processed via Ezidebit. Applicable fees include:
- $0.77 per direct debit transaction
- 1.77% for Visa/Mastercard transactions (min. $0.77)
- $9.90 dishonour fee (if applicable)
- Non-payment may result in suspension, cancellation, referral to an external debt collection agency, and associated fees.
- Additional fees may apply for:
- Late collection ($15 per 15 minutes, per family).
- Failure to follow cancellation procedures.
- Medical expenses incurred.
- A $5 administration fee per quarter applies, covering unlimited booking changes, support services, and access to subsidies/funding.
- A $3 compliance and administration fee applies to each statement, covering government and regulatory requirements.
- Child Care Subsidy (CCS)
- You are responsible for managing your Centrelink entitlements via the Family Assistance Office (13 61 50).
- Correct CRNs, DOBs, and names must be provided in your TeamKids portal before attendance.
- A Certified Written Agreement (CWA) must be confirmed via MyGov.
- Attendance is submitted to Centrelink weekly.
- Resubmissions are limited to 28 days.
- Child’s Participation
- Parents must ensure children are signed in/out each day.
- TeamKids may suspend or permanently exclude a child where their behaviour presents an unacceptable risk to themselves, other children, Educators or the safe operation of the Service, or where reasonable behaviour support strategies have been unsuccessful.
- Children with infectious or communicable diseases cannot attend until medically cleared.
- TeamKids may notify schools of suspensions or exclusions.
- Additional/Medical Needs
- Families of children with additional needs must consult the TeamKids Inclusion Manager before attendance (minimum four weeks’ notice required if extra staff funding is needed).
- Action Plans and supporting documentation must be provided before attendance.
- Medication must be provided in its original packaging, clearly labelled, and within expiry.
- A Risk Minimisation Plan must be completed on the first day.
- Injuries & Property Damage
- TeamKids is not liable for injury, property damage, or loss unless caused by proven negligence, except as required by law.
- Parents indemnify TeamKids against costs arising from injury or damage caused by their child.
- Privacy
TeamKids handles personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles and our Privacy Policy.
TeamKids may use your contact details to provide information about products, programs and services offered by TeamKids, including under other brands operated by TeamKids, unless you have opted out of marketing communications.

- Holiday Program – Additional Terms
- Cancellations, daily fees, and extra activity costs are detailed in your TeamKids account.
- Bookings should be made at least 7 days in advance; late bookings incur additional fees.
- Outstanding accounts may be referred to collections (with late fees).
- Multi-child discounts apply ($1–$1.60 per child, depending on number of children booked).
- Programs may be cancelled due to insufficient enrolments or weather. Refunds or alternative venues will be offered.
- Excursion authorisation forms must be completed on-site.
- Children with additional needs require 4+ weeks’ notice for bookings.
- Before & After School Care – Additional Terms
- Medical illness absences must be supported by a medical certificate.
- A $10 No Show Fee applies if no cancellation is made.
- Extended sessions (e.g., end of term) may attract pro-rata fees.
- Outstanding debts will result in cancellation of future bookings, late fees, and referral to collections.
Changes to T&Cs
We may amend these Terms and Conditions due to regulatory changes or service improvements. You will be notified of amendments, and you may cancel your account without charge if you do not accept them.
Communications and Marketing
TeamKids may contact you about your bookings, account, payments and other operational matters relating to the Services. These communications are necessary for us to deliver our Services and cannot be opted out of.
Unless you have opted out, TeamKids may also use your contact details to communicate with you about its products, programs, services and offers, including those provided under other brands operated by TeamKids. You may opt out of marketing communications at any time using the unsubscribe facility or by contacting TeamKids.
